Due to the new website legislation, which came into effect on 1st January 2007, all UK companies should list their company registration number, place of registration and registered address on their company websites. This information should also appear on electronic business documentation like email.
  
To add this information to your email as a 'Footer' or 'Signature' follow these steps...
 
Create a Signature in Outlook Express:
  • Select Tools > Options from the menu in Outlook Express.
  • Go to the Signatures tab.
  • Click New...
    • Type the text of your signature under Edit Signature.
    • Try to limit your signature to 4-5 lines of text, and
    • possibly use the standard signature delimiter.
  • This field is for plain text only, but you can add HTML formatting if you would like to.
  • Click OK.
Create a Signature in Outlook:
  • Select Tools > Options from the menu in Outlook.
  • Go to the Mail Format tab.
  • Click Signatures... under Signatures.
  • Click New...
  • Give the new signature a name.
    • You can set up more than one signature for different purposes
  • Click Next >
  • Type the desired text of your email signature.
    • It is best to limit your signature to no more than 5 or 6 lines of text.
    • Include the standard signature delimiter (it does not count as a line of text).
    • You can use the Font... and Paragraph... buttons to format your text, but if you want to use links, fancy formatting and images even in your signature, you can do so more easily via a different route.
  • Click Finish
  • Now click OK
  • If you have just created your first signature, Outlook has automatically made it the default — automatically inserted — for new messages.
Both these techniques will create email signatures that are suitable for the new legislation. Creating an email signature will mean that the required information is added to the bottom of each of your emails automatically so there is no need to remember to type or add the details each time you send an email.
 
We recommend that you add the information in the following format:
 
Company Registration Number: 123456789
Place of Registration: London, England
Registered Address: 20 Any Street, London, W1 1AA
